Business Affairs Specialist
Reporting to the VP of Business Development, the Business Affairs Manager is responsible for tracking, communicating and ensuring that the company is in compliance with all of its contractual obligations. We are only seeking candidates who have film industry experience especially candidates who are experienced at applying for funding with Telefilm Canada, BC Film, CRTC, CAVCO, and the CTF.
Duties & Responsibilities
Contract Administration
- Track the progress of all contracts and ensure they are executed and distributed to applicable executives, talent, outside council, agents etc.
- Maintain the status of the current filing system and executed contracts.
- Maintain a centralized contract tracking system for the company.
- Maintain files for all executed contracts entered into by the company for:
- Development
- Producers, Directors, Writers and key creatives (in-house and external)
- Distribution;
- Merchandising and Licensing; and
- Production services work.
- Independent contractors
- Create and manage an in-house data-base that tracks all project options, rights and deliverables.
- Set-up and maintain a system for communicating upcoming contractual obligations, providing enough advance warning to decision makers.
- Coordinate all status and feedback of those contracts in negotiation.
- As requested, support executives to act as company's liaison with its legal counsel, distribution and licensing agents, broadcasters, and 3rd party clients.
- Arrange for execution of all contracts according to company policy.
- Communicate contract terms to internal parties on a need to know basis.
- Assess in-house IP contracts to analyse various rights and royalty payment obligations to and from the company. Provide an updated report on status of these projects.
- Prepare IC agreements for outside contractors.
Deliverables
- Coordinate the assembly of all deliverable requirements with respect to broadcast sales, merchandising, and licensing agreements.
- Liaise with other internal departments to ensure that all deliverable requirements are satisfied and follow up on all outstanding items.
Business Affairs
- As required, negotiate and draft from previously created templates deals for writers and artists.
- Assist with distribution rights and clearance issues that may arise.
- Provide oversight of regulatory, governmental affairs and trade group participation
- As required, other relevant legal needs.
- Oversee the archiving and cataloguing of all production elements, artwork and merchandise samples.
Qualifications
- 3 - 5 years of experience in Business Affairs, Contracts Admin and the Film Industry
- Must have industry experience. Only candidates who have experience in the film industry and applying for funding at Tele Film, BC Film, CRTC, CAVCO, and the CTF will be considered for this role.
- Must have experience with contracts. Must have experience evaluating, reviewing and administering contracts.
- Attention to detail, ability to prioritize multiple tasks.
- Strong verbal and written communication skills.
- Exceptional interpersonal skills to deal with various internal and external customers.
- Extremely well organized.
- Very flexible and adaptable to a constantly changing environment.
